Organization for Cyber Defense Innovation – Privacy Policy

Being fully aware of the importance of preserving the integrity of personal information and privacy, the Organization for Cyber Defense Innovation (hereinafter referred to as the “Organization”) has established the following privacy policy (the “Policy”) in compliance with the Japanese “Act on the Protection of Personal Information” and related laws and regulations (hereinafter referred to as the “Law”). To ensure protection of the personal information and privacy of all concerned parties, the Organization complies with this Policy.

1. How the Organization Collects and Uses Personal Information

The Organization collects personal information through appropriate and lawful means, as outlined below. We specify the purposes for which personal information is used, and unless otherwise allowed by applicable laws and regulations, we will not use personal information for any purpose other than those expressly stated in this Policy without the prior consent of the individual affected by such use.

Registrations and Applications: To confirm registrations and applications and provide various services relating to or in connection with such registrations and applications.
Surveys: To compile and analyze survey data and generate statistical information. Personal information may be used and compiled to generate statistical data. (Note: The statistical data itself which is generated upon compilation and analysis of such survey data will not contain any personally identifiable information.)

Event Notifications: To inform individuals registered with the Organization of upcoming events hosted by the Organization.

2. Use and Management of Personal Information

The Organization will punctiliously manage and securely store personal information provided to the Organization, rigorously implementing appropriate security measures to prevent leakage, loss, or damage of personal information. We will strive to keep the personal information accurate and up-to-date, to the extent necessary to achieve its intended purpose.

3. Disclosure and Provision of Personal Information to Third Parties

The Organization will not disclose or provide personal information to third parties except in the following cases:
when prior consent to such disclosure or provision of personal information to third parties has been obtained by the affected individual;
when such disclosure or provision of personal information is allowed by applicable laws and regulations;; and
when the Orgnization outsources the handling of personal information to third parties but only to the extent necessary to achieve the intended purpose. (In such cases, the Organization will exercise appropriate supervision over such third parties.)

4. Inquiries and Requests

As required by law, you can request correction, addition, deletion, suspension of use, erasure,Regarding personal information provided to the Organization, individuals who provided such personal information may request corrections, additions, deletions, suspension of use, erasure, or suspension of provision to third parties of their personal information in accordance with the Law.  Requests should be submitted in writing to the address provided below, accompanied by proof of identity (e.g., a copy of a driver’s license or passport). After examining the contents of the request, we will handle the matter appropriately in accordance with the Law. The foregoing procedures apply to inquiries or complaints regarding the handling of personal information by the Organization.

5. Changes to the Privacy Policy:

The Organization reserves the right to change or amend all or any part of this Policy. Any such changes and amendments will promptly be posted on the Organization’s website.

Supplementary Provisions; This policy is effective as of September 24, 2024.
